Do you support remote online notarization?
Remote online notarization is established in Florida and a lot of title operations now run some closings this way. The platform itself is a vendor decision, driven by which underwriters accept it, how it handles identity proofing and credential analysis, and how it integrates with your production system. We will help you evaluate and we will not pick for you.
What we make sure works, because this is where sessions actually fall apart:
- Upload bandwidth, not download. A notarization session is a live video call your closer is sending as well as receiving. Many office internet plans have generous download and thin upload, and the session degrades on the closer's side in a way that looks like the signer's problem. Check this before the first closing, not during one.
- A wired connection for the closer, ideally. Wi-Fi is fine until it is not, and it fails at the least convenient moment. A cable to the closing desk is cheap.
- Audio that works. A proper headset rather than a laptop microphone. Session recordings are part of the notarial record and poor audio is a defect in a record you are required to retain.
- Lighting and camera position. Not IT in the traditional sense and it affects identity verification and the professionalism of the session. A window behind the closer makes them a silhouette.
- Recording storage and retention. Florida requires the audio-visual recording to be retained, and these files are large. That storage has to be secure, backed up, and sized for the retention period rather than filling up in month eight.
Two security points specific to this. The session involves identity documents, so the recordings and the surrounding files are highly sensitive and belong under the same controls as the rest of your non-public personal information, not in a folder someone set up quickly. And a dedicated closing room or desk with a consistent, tested setup is worth more than flexibility here, because a session that fails mid-closing costs more than the equipment.
