Managed IT Services Pricing, and What Break/Fix Actually Costs

Most IT companies make you fill out a form and wait two days to hear a number. This page just tells you.

Answer a few questions and the calculator below gives you a real estimate, whether you want everything handled for one monthly price, monitoring with help when you ask for it, or nothing at all until something breaks. No email required to see the number.

Three ways we work, and the calculator prices all of them:

  • Fully managed. One price per user per month. Help desk, monitoring, patching, security, Microsoft 365 or Google Workspace, all of it. Priority support.
  • Monitoring only. We watch your machines and keep them patched. You call us in when you want hands on something, billed hourly. Improved response, ahead of pay as you go work.
  • Break/fix. No monthly commitment. You pay for the time when you need it. Best effort, scheduled as availability allows.

If you pick break/fix, the calculator also shows what a monthly plan would cost the same business, so you can see which one is actually cheaper at the rate you need help. Sometimes it is break/fix. It will say so.

The number you get is a realistic estimate, not a teaser designed to go up later. Final pricing is confirmed after we look at your environment.

We already have someone in house doing IT

Co-managed. We back up your person instead of replacing them, which usually takes 20 to 40 percent off the per user price depending on what they keep. The estimator uses the middle of that range.

We are a nonprofit

Nonprofit pricing applies. If both of these are yes, you get the better of the two, not both stacked.

How often do you actually need help?

Your honest average. This is the number that decides whether pay as you go is cheaper than a monthly plan, so guessing low does not do you any favors.

Can most of it be handled remotely?

Remote work is faster and cheaper for you. Some things genuinely need a person in the building.

Onsite labor is covered by your monthly fee. Visits carry a flat trip charge, and our top tier includes unlimited onsite. Project work is billed at $125 per hour rather than our standard $165.

  • Improved response: ahead of pay as you go work, behind fully managed clients

Microsoft 365 and Google Workspace backup is included in the managed per-user fee. On monitoring and break/fix it is available as a separate purchase. Server backup is billed separately per server on every plan and includes up to 1 TB of storage per server.

Licensing, and Who Buys It

ONE INVOICE OR TWO, YOUR CALL

We can put your Microsoft 365 licensing on the same invoice as your support, or you can keep buying direct from Microsoft and we hold admin access either way. Neither costs you more in support. The calculator asks which you want and prices it accordingly.

Nonprofits usually qualify for donated or heavily discounted Microsoft licensing. If that is you, treat the licensing line in the calculator as a ceiling and we will sort out what you actually qualify for.

This calculator covers businesses that:

Most clients come to us for one of three reasons. The office manager or the owner has been holding the technology together until it stopped working. Something broke in a way that cost real money. Or they simply outgrew the setup that used to be fine.

We support Windows, macOS, Microsoft 365 and Google Workspace, and we work with multi-office businesses up to around 80 people, fully managed or co-managed. If your environment is heavily regulated or unusually complex, use the calculator for a ballpark and then let us do a proper assessment.

Break/Fix and Hourly Work

YES, WE STILL DO IT

Not every business needs a monthly plan, and we are not going to pretend otherwise. We support break/fix clients and we always have.

Our rates:

  • $165 per hour standard, one hour minimum
  • $125 per hour for projects and weekend coverage
  • $250 per hour after hours for clients without a monthly plan
  • Sites more than 40 minutes out carry a 1.5 hour minimum instead of a trip charge

Break/fix work is scheduled as availability allows, around clients on a monthly plan. For a business that needs help a few times a year that is usually fine. It is the part worth thinking about if a slow day would actually cost you something.

It also stops making sense faster than most people expect. Once you are calling most weeks, the hourly bill usually passes what a monthly plan would have cost, and you are still paying for problems after they happen instead of before. The calculator runs that comparison with your own numbers.

IS THIS AN EXACT PRICE?

No. It is a realistic estimate based on common environments. Final pricing is confirmed after a technical assessment.

WHAT IS THE DIFFERENCE BETWEEN PRIORITY AND BEST EFFORT SUPPORT?

Managed and monitoring clients are in the priority queue. Break/fix work is scheduled as availability allows, around those clients. It is the main thing you give up by staying hourly, and it is worth weighing against the money you save.

AM I LOCKED INTO A CONTRACT?

No. All of our agreements are month to month with 30 days notice. There is no long-term term commitment and no early termination fee. An onboarding project fee applies at the start and is quoted separately.

WHY DON’T YOU LIST FLAT PRICING?

Every environment is different. User count, security needs, servers and compliance requirements all affect cost. That is exactly why the calculator exists instead of a price sheet.
