Where firms get caught out

What goes wrong in a law firm

Most of it happens at the worst possible moment: a deadline, a closing, a trial.

Confidential files in too many places

Client documents end up in email, personal devices and shared drives with no clear rules. The Florida Bar expects reasonable steps to keep them confidential.

Wire fraud hits trust accounts

A spoofed email from a client, title company or opposing counsel asks to change wiring instructions. One missed detail and the money is gone.

Deadlines do not move

When the document system, e-filing or a scanner fails the night before a filing, there is no extension for IT problems.

Attorneys work from everywhere

Court, home, the client's office. Every one of those connections needs to be secure without getting in the way.

Your systems

The systems a law firm runs on

We look after the computers, servers, network and Microsoft 365 your practice management and document management software run on, keep them patched and backed up, and make sure the right people can reach the right files from wherever they work.

When a problem belongs to your software vendor, we call them and stay on it until it is fixed, so your staff is not stuck in the middle.

  • Practice management software
  • Document management
  • Florida Courts E-Filing Portal
  • Scanners and PDF tools
  • Microsoft 365 and Outlook
  • Encrypted email

Running something specific? Ask. Most of the work is the same whatever the software.

Confidentiality

Reasonable steps to protect client information

The Florida Bar expects lawyers to make reasonable efforts to protect client information, and that includes the technology it lives on. Cyber insurers ask the same questions in more detail.

We put the controls in place, write them down, and answer insurance questionnaires from what is actually configured. More on our compliance service.

What helps

  • Multifactor sign-in on every mailbox and remote connection
  • Encryption on laptops and for sensitive email
  • Access to case files limited to the people who need it
  • A rule that any change to wiring instructions is confirmed by phone, using a number you already have

We are not your attorney or your ethics counsel. We make the IT side true and documented.

Jennifer R. Locksmith, Jacksonville
Do you support our practice management and document software?

Yes. We support the computers, servers, network and Microsoft 365 your practice and document management software run on, and we deal with the software vendor when a problem is theirs to fix.

How do you help us protect client confidentiality?

Multifactor sign-in, encryption, access limited to the people who need it, and backups that are tested. We document what is in place so you can show the steps you have taken. Ethics questions stay with you and your counsel.

How do you protect us from wire fraud?

Multifactor sign-in on every mailbox is part of every managed agreement. The Advanced Security level adds advanced email security with DMARC, SPF and DKIM enforced, and staff training with monthly phishing tests. We also help you set a call-back rule for any change to wiring instructions.

What happens if something breaks before a filing deadline?

During business hours a person answers the phone. On a managed agreement, tickets are acknowledged within 15 minutes and a technician is working on them within the hour.

What does it cost?

Managed IT is priced per user, per month, and the rate per user comes down as you add people. Our pricing calculator gives you a monthly estimate in about a minute.

Is there a long contract?

No. Agreements are month to month. Give 30 days notice and you are done, with no early termination fee.
