Microsoft 365, email and cloud
Who do we call to set up SharePoint properly?
Short answerUs. The structure and permissions are the work. Turning it on takes five minutes and helps nobody.
SharePoint is included with most Microsoft 365 business licenses, which means nearly everyone has it and very few have set it up deliberately. The usual state is a default site nobody uses, files scattered across individual OneDrives, and a Teams channel that quietly became the real file server.
Setting it up properly means deciding a few things before touching anything:
- What belongs to the company versus an individual. Work files in personal OneDrive accounts leave when the person does, and that is the single most common cause of lost documents we see.
- Who should see what. Finance, HR, and client files usually need to be separated. Getting this right at the start is far easier than unpicking it later.
- How it maps to how you work. By department, by client, by project. There is no universal right answer, but there is a wrong one, which is replicating a folder tree that grew by accident over fifteen years.
We also set up sync properly so people get their files in File Explorer and never have to think about the web interface, which is the thing that makes staff accept it.
