Who do we call to set up Teams properly?

Short answerUs. The main decision is what Teams is for in your business, because without that it becomes a second file server nobody planned.

Teams gets switched on by default and then organizes itself, badly. The common end state is dozens of teams created by whoever needed one, files living in channels nobody can find later, and external guests from a project that finished two years ago still having access.

Setting it up deliberately means deciding:

  • Who can create a team. Left open, you get a new one per project, per client, and per passing idea. Most small businesses are better with a small number of teams and channels within them.
  • What lives in Teams versus SharePoint. They are the same storage underneath, which almost nobody realizes, and understanding that prevents half the confusion.
  • How guests work. External access is genuinely useful and needs an expiry habit, otherwise former clients and contractors accumulate quietly.
  • Chat retention. If you are in a regulated industry, this is a decision rather than a default.

Worth knowing: files shared in a private chat go into the sender's OneDrive, not into any team. When that person leaves, those files go with them. That surprises people every time.
