Wi-Fi Dead Zones, Slow Networks, and the Office Cabling Nobody Thinks About

Wi-Fi problems get treated as a mystery more often than they should. The physics and the math behind wireless networking are well understood, and most office network problems trace back to one of a small number of predictable causes.
Why a Single Router Isn’t Enough
Most small offices run on one access point, usually whatever came bundled with the internet service, positioned wherever the internet connection happens to enter the building. That location is chosen by the cable company’s convenience, not by anything related to how the office is laid out.
Wi-Fi signal weakens with distance and gets absorbed or reflected by walls, especially concrete, metal studs, and anything with plumbing or electrical wiring behind it. A single access point positioned in one corner of an office might provide a strong signal within thirty feet and a nearly unusable one everywhere else. Every wall a signal has to pass through degrades it further.
A device can show full Wi-Fi bars and still perform terribly. Signal strength measures whether a device can hear the access point. It says nothing about how many other devices are competing for that same access point’s limited capacity at the same time. This is the difference between a coverage problem and a capacity problem, and they require different fixes.
The Capacity Problem Nobody Talks About
Every access point has a limited amount of bandwidth to distribute across every device connected to it at once. Laptops, phones, tablets, smart TVs, security cameras, VoIP handsets, printers. In a modern office, that list adds up fast, often to more devices than employees.
When too many devices compete for one access point, performance degrades for everyone, even people sitting close to it with a strong signal. This is why an office can feel fine with five people working and become nearly unusable once a full team, plus their phones, plus a video call or two, are all connected at the same time.
The fix for a capacity problem isn’t a stronger signal. It’s more access points sharing the load, positioned so that no single one is responsible for too many devices, combined with moving stationary devices onto a wired connection wherever possible so they’re not competing for wireless bandwidth at all.
What Proper Wi-Fi Coverage Actually Requires
A network built for actual coverage and capacity starts with understanding the space: square footage, wall materials, how many people and devices will be connected, and where the busiest areas are. From there, access points get placed to overlap slightly, so there’s no dead zone between them, and sized appropriately for the device density in each area.
This is meaningfully different from buying one expensive router and hoping a stronger signal solves everything. A $600 router in the wrong spot performs worse than two or three modest access points properly positioned throughout the space. Coverage and capacity are a design problem, and design requires actually looking at the space, not just buying better hardware.
The Half of the Equation Everyone Forgets: Cabling
Wireless gets all the attention because it’s what people notice when it’s not working, but a well-designed office network relies on wired connections for anything that doesn’t move. Every device moved from Wi-Fi to a wired connection is one less device competing for wireless capacity, which improves performance for everyone still on Wi-Fi.

This distinction matters more than most businesses realize. A conference room with a wired video conferencing system and a wired display performs far more reliably than one depending on Wi-Fi for a screen share during a client call, and it stops competing with everyone else’s laptops for bandwidth at the same time.
Why Older Buildings Struggle More
Older commercial buildings across Northeast Florida often have cabling that was installed decades ago, added piecemeal by different tenants over the years, or never properly documented. Cat5 cabling installed in the 1990s wasn’t built for the bandwidth demands of a modern office, and cabling that’s been through renovations, pest damage, or simple age often has failures that are invisible until someone actually tests each run.
Construction materials matter too. Concrete block construction, common in a lot of older commercial buildings in this area, absorbs and reflects Wi-Fi signal far more aggressively than drywall, which makes access point placement even more important in these spaces than in newer construction.
Signs It’s Time for a Network Redesign

What a Proper Network Design Project Looks Like
A network redesign starts with a site walkthrough, mapping the space, identifying where people and devices concentrate, and testing existing cabling and current Wi-Fi coverage to establish a baseline. From there, access point placement gets planned specifically for that space rather than guessed at, and a decision gets made about what needs new cabling versus what can stay wireless.
The result should be even coverage throughout the space, no single access point overloaded with more devices than it can handle well, and everything that doesn’t move connected by cable rather than competing for wireless bandwidth. None of this requires exotic equipment. It requires actually planning around the specific space instead of treating every office the same way.
Stop Fighting the Dead Zone
A conference room with bad Wi-Fi or a desk in a dead zone isn’t a fact of life. It’s a sign that the network was never actually designed for the space it’s serving. The fix isn’t more expensive hardware in the same spot. It’s understanding how coverage, capacity, and cabling work together, and building the network around the office you actually have.
