Managed IT pricing, and what break/fix actually costs
Most IT companies make you fill out a form and wait two days to hear a number. This page just tells you. Answer a few questions in the calculator below and you get a real monthly estimate, whether you want everything handled, monitoring with help when you ask, or nothing until something breaks. No email required to see the number.
- Month to month, 30 days notice
- No early termination fee
- No email needed
How do you want your IT handled?
Pick the closest fit. You can change it later, and none of this locks you into anything.
Tell us about your setup
Do you want us handling your Microsoft 365 licensing?
We can put your licenses on the same invoice as your support, or leave them where they are and just hold admin access. Either works. One is simply fewer bills.
Security, and how much guidance you want
Two choices. If you are not sure on either, the first option is what most small offices run and we can talk through the rest on a call.
Sold separately rather than buried in a tier, so you are not paying for it if you do not want it.
Two last things
Both of these change the price, so it is worth answering honestly.
Co-managed. We back up your person instead of replacing them, which usually takes 20 to 40 percent off the per user price depending on what they keep. The estimator uses the middle of that range.
Nonprofit pricing applies. If both of these are yes, you get the better of the two, not both stacked.
How often do you actually need help?
Your honest average. This is the number that decides whether pay as you go is cheaper than a monthly plan, so guessing low does not do you any favors.
Can most of it be handled remotely?
Remote work is faster and cheaper for you. Some things genuinely need a person in the building.
This is a realistic estimate, not a teaser. The final price is confirmed after we look at your environment. Book a call and we will walk through it with you, no obligation and no sales games.
Your answers come with you into the scheduler, so you will not be asked all of this again.
What you get on each plan
The calculator prices all three. Here is what is inside each one.
Fully managed
Per user, per month- Unlimited remote help desk
- Monitoring and maintenance for computers and servers
- Windows and software patching
- Endpoint detection and response on every machine
- Basic email security
- Multifactor sign-in set up and enforced
- Firewall and basic network management
- Microsoft 365 or Google Workspace administration
- Microsoft 365 or Google Workspace backup, with a test restore every month
- Vendor coordination, and documentation kept current
- Front of the queue: acknowledged within 15 minutes, worked within the hour
- On site visits with no hourly labor, only a flat trip charge
- Projects at $125 an hour instead of $165
Monitoring
Per machine, per month- Workstations: monitoring, patching and endpoint detection and response
- Servers: monitoring, patching, local backup monitoring and endpoint detection and response
- Alerts when something is wrong, often before you notice
- Hands-on work billed at $165 an hour
- Ahead of break/fix in the queue, behind managed clients
- Microsoft 365 backup available to add
Break/fix
By the hour- No monthly fee and nothing to cancel
- $165 an hour, one hour minimum
- After hours emergencies at $250 an hour
- More than 40 minutes from our office: a 1.5 hour minimum instead of a trip charge
- Scheduled as availability allows, around monthly clients
- Microsoft 365 backup available to add
Server backup is billed per server on every plan, with up to 1 TB of storage per server. Not sure which plan fits? Past a couple of calls a month, managed usually costs less than the hourly bill, and the calculator runs that comparison with your own numbers.
Security, a technology plan and compliance
Sold separately rather than buried in a tier, so you are not paying for anything you did not ask for. The calculator adds whichever you pick to your estimate.
Our published rates
These apply to break/fix work, to hands-on work on a monitoring plan, and to anything outside a managed agreement.
Break/fix work is scheduled as availability allows, around clients on a monthly plan. For a business that needs help a few times a year that is usually fine. It is worth thinking about if a slow day would actually cost you something.
What pushes the number up or down
Managed IT is priced per user, per month, and the rate per user comes down as you add people. A handful of things move it from there, and the calculator accounts for all of them, so the number you see should not move much when we talk.
If you already have someone in house doing IT, co-managed usually takes 20 to 40 percent off the per user price, depending on what they keep. Nonprofits get a nonprofit rate. If both apply, you get the better of the two, not both stacked.
Pushes it up
- Advanced Security
- Servers, and server backup
- More than one office
- vCIO or compliance
Brings it down
- More users: the rate per user drops
- Co-managed, alongside your IT person
- Nonprofit rate
Microsoft 365 licensing is separate. Nonprofits often qualify for donated or discounted licenses, so treat that line in the calculator as a ceiling.
Built for offices of roughly 5 to 100 people
The calculator works best for businesses that run on their technology every day, have nobody whose actual job is IT, or have one person carrying it alongside their real work, and want to know the number before they start a conversation.
A one or two person office that rarely needs help will usually pay less on break/fix or monitoring, and the calculator will say so. For six or more offices, or a setup too complex for a calculator, it hands you to us instead.
We support Windows, macOS, Microsoft 365 and Google Workspace in any mix, fully managed or co-managed.
What happens after your estimate
- Schedule a call from the result: your answers come with you, so you are not asked again
- Or start with a free IT assessment and keep the written summary
- Or sit with the number and compare it with what you spend now
- No obligation, and no sales games
No long contract, no phone tree, no guessing at the price
Questions about pricing
Jeremiah and his team are fantastic, super competent/helpful and reasonably priced!
Is the calculator an exact price?
No. It is a realistic estimate based on common setups, not a teaser designed to go up later. The final price is confirmed after we have looked at your environment.
Am I locked into a contract?
No. Every agreement is month to month with 30 days notice. There is no long term commitment and no early termination fee.
Is onboarding extra?
Yes. Onboarding is a one time project fee, quoted once we have seen what we are taking on, so you know the number before you sign.
Why not publish a flat price sheet?
User count, servers, offices, security level and compliance needs all change the cost. A calculator can account for all of that. A price sheet cannot.
What is the difference between priority and best effort?
Managed clients are at the front of the queue, with tickets acknowledged within 15 minutes and a technician working on them within the hour during business hours. Monitoring clients come next. Break/fix work is scheduled as availability allows, around both.
What are your support hours?
8am to 5pm Eastern, Monday to Friday. Managed clients have an after hours route for things that cannot wait. Everyone else can call after hours too, billed at $250 an hour.
Do we have to buy Microsoft 365 licenses from you?
No. You can put licenses on the same invoice as your support, or keep buying direct and give us admin access. It costs you nothing extra either way.
