Microsoft 365 or Google Workspace set up properly, email moved without losing a message, and servers that no longer live in your closet. Run by a local team that answers the phone.

Why people call

Six reasons this call usually happens

Almost nobody calls an IT company to talk about cloud strategy. They call because one of these is true.

Email has become a problem

Still on IMAP through the web host, mailboxes full, messages landing in spam, or someone got into an account.

The file server is on its last legs

A box in a closet that nobody wants to pay to replace, and getting to it from home has always been awkward.

Microsoft 365 was never set up properly

Licenses bought years ago, no multifactor sign-in, sharing wide open, and people who left still have mailboxes.

People work from more than one place

A second office, staff working from home, or one attempt at remote working that went badly enough that nobody tried again.

You are moving between Microsoft and Google

In either direction. Usually because one stopped fitting, or because a merger left you running both.

You are paying for licenses nobody uses

Everyone on the most expensive plan, accounts for people long gone, and add-ons nobody remembers buying.

Microsoft 365 and Google Workspace

Set up properly, then looked after

Both platforms do roughly the same job, and both are easy to run badly. Most of the tenants we take over were set up once by whoever was available and never touched again.

Administration and backup of either one are part of every managed agreement. That covers the setup work below and the hundred small requests that come after it.

Licenses can go either way. Buy them through us on one invoice, or keep them in your name and give us admin access. You are never locked into buying licenses from us.

What we look after

  • Tenant setup, or a review of the one you already have
  • Multifactor sign-in on every account, set up so people can live with it
  • Sign-in rules, where your licenses support them, so a login from another country does not simply work
  • Licenses matched to what each person actually uses
  • Joiners and leavers, so a departing employee's mail and files end up where they should
  • Shared mailboxes, groups, calendars and permissions
Migrations

Email migrations, in whichever direction you are going

We move mail off IMAP, an old Exchange server or a web host, and between Microsoft 365 and Google Workspace in either direction: mailboxes, calendars, contacts, shared mailboxes and the rules people forgot they set up.

  1. Inventory

We list every mailbox, alias, shared mailbox and domain record, so nothing is discovered on the day.

  2. Build and copy

We set up the new side and copy mail across in the background while everyone keeps working.

  3. Cutover

We switch mail delivery at a time agreed with you, usually after hours, then copy across the last few messages.

  4. Clean up

We get people signed in on their phones and laptops, then shut down the old system and cancel what you no longer need.

Files and SharePoint

Replacing the file server, when that is the right answer

A lot of small businesses still run a physical file server for one reason: it works, and replacing it is expensive. Then it turns eight years old, the warranty is long gone, and getting to it from home is still awkward.

SharePoint and OneDrive replace that box for most businesses. Files sync to laptops so they still open on a bad connection, permissions follow the person rather than the folder, and nothing depends on a machine in a closet staying alive.

When we would tell you not to

  • Very large design and CAD files, which sync badly
  • Software that expects a mapped drive and a shared database
  • Folder structures deep enough to hit path length limits

In those cases the answer is usually a hosted server, or leaving that one workload where it is and moving everything else. A partial move that works beats a complete move that does not.

Servers and hosted desktops

The servers that still have to be servers

Practice management, accounting and other line of business software often still needs a server. It does not need to be in your building. We run those workloads in Azure or on hosted servers we manage, and we can host full desktops for staff who need one.

No server to replace every five yearsThe hardware cost becomes a monthly line, with no warranty to chase and no six week wait for a new box.
It keeps running when the building does notA storm, a power cut or a burst pipe upstairs does not take your software down with it.
Access follows the personSomeone leaves on a Friday, and their access ends on that Friday, everywhere.
Patched on a scheduleUpdates and reboots happen in a window you agree to, usually while the office is empty.
The same desktop anywhereWith a hosted desktop, the office, home and a laptop in a hotel all open the same files and the same programs.
Sized to what you useMore capacity for month end and less in July is a setting, not a purchase order.

It does not suit everyone. Software that is sensitive to delay needs testing first, and a single office with a solid server that has years left in it is usually better off waiting. We will tell you which one you are.

Backup and billing

Microsoft does not back up your data

This surprises people, so it is worth saying plainly. Microsoft keeps the service running. Getting back mail and files that were deleted, overwritten or encrypted is your responsibility, and the built-in recycle bins have time limits.

Every managed agreement includes Microsoft 365 or Google Workspace backup, with a test restore every month. Server backup is billed per server. More on backup and recovery.

How it is billed

  • Administration and backup: part of the managed price, per user, per month
  • Licenses: separate, whether you buy them through us or direct
  • Migrations and server moves: projects, billed hourly at a lower rate for managed clients

Questions

Questions about Microsoft 365 and the cloud

We found solutions to the growing list of those small annoying issues that we've been wasting time finding workarounds. Our productivity has increased; our network is improved. I cannot say enough great things about Advanced IT Support.
Leona S. eCommerce, Fleming Island, FL
Do we have to buy our Microsoft 365 licenses from you?

No. Some clients buy licenses through us on one invoice. Others keep the licenses in their own name and give us admin access. Either works, and we will tell you which makes more sense for your size.

Will we lose email during a migration?

No. Mail is copied to the new system before the switch, the switch happens at a time agreed with you, and the last few messages are copied across afterwards. We help people sign back in on their phones and laptops.

Can SharePoint replace our file server?

For most small businesses, yes. The exceptions are very large design files, software that needs a mapped drive and a shared database, and very deep folder structures. For those we use a hosted server, or leave that one workload where it is.

Does Microsoft back up our data?

Not in the way most people assume. Microsoft keeps the service running, but recovering deleted or overwritten mail and files is your responsibility, and the built-in recycle bins have time limits. Every managed agreement includes Microsoft 365 or Google Workspace backup, with a test restore every month.

Do you support Google Workspace too?

Yes. We set up and look after Google Workspace the same way, back it up the same way, and move businesses between Google Workspace and Microsoft 365 in either direction.

What does it cost?

Administration and backup of Microsoft 365 or Google Workspace are part of a managed agreement, priced per user, per month. Licenses are separate. Migrations and server moves are projects, billed hourly at a lower rate for managed clients. Our pricing calculator gives you a monthly estimate in about a minute.
